Biodata for Government Job: Format, Attachments and Mistakes

By Umer SattarUpdated 23 Oct 20262 min read

Contractual posts in district offices, municipal bodies, schools and hospitals often ask applicants to send a biodata for government job consideration along with self-attested documents. Unlike private hiring, these applications are checked line by line against certificates, so small mismatches matter. This guide covers the format, the attachments and the common mistakes.

Biodata for government job: the format offices expect

  1. Heading: “Bio-Data” and, at the top right, a space for a recent passport-size photograph (self-attested if the notice asks).
  2. Post applied for and the advertisement number and date.
  3. Personal details: name exactly as on the Class 10 certificate, father's name, date of birth, category, gender, nationality, permanent and correspondence addresses.
  4. Educational qualification table: exam, board/university, year, marks obtained, maximum marks, percentage, division.
  5. Experience: post, employer, period from–to, nature of duties.
  6. Other qualifications: computer certificate (for example CCC), typing speed, languages.
  7. Declaration, place, date and signature.

Should I follow a prescribed form if the notice gives one?

Always. If the advertisement includes an application format or annexure, use that exact format; a self-made biodata may be rejected.

Match every detail with your certificates

  • Name spelling as on the Class 10 certificate.
  • Date of birth exactly as on the Class 10 certificate.
  • Marks and percentages as printed, not rounded.
  • Category with a valid certificate in the format the notice asks for.

Documents usually attached (self-attested)

  • Class 10 certificate (date of birth proof) and marksheets for every exam listed.
  • Degree and provisional certificates.
  • Caste/category and domicile certificates if claimed.
  • Experience certificates for each employer.
  • Identity proof and recent photographs.

Arrange them in the same order as the biodata and keep a checklist page on top.

Mistakes that cause rejection

  • Missing signature or date on the declaration.
  • Unsigned or unattested photo where attestation was required.
  • Percentages that don't match the marksheets.
  • Missing experience dates, or overlapping periods without explanation.
  • Sending after the last date or to the wrong address.
