ATS Friendly Resume Format: Rules That Get You Read by a Human

By Umer SattarUpdated 23 Oct 20263 min read

Large employers and job portals in India use applicant tracking systems (ATS) to collect and filter applications before a recruiter sees them. A resume that looks beautiful can still be read badly by the software. An ATS friendly resume format isn't about tricks; it's about plain structure and honest keyword matching, so the right resume reaches a human.

What an ATS does

The system parses the resume into fields (name, contact, experience, education, skills) and lets recruiters search and filter by keywords, titles and qualifications. If parsing goes wrong, skills can land in the wrong field or vanish, and the resume may not appear in a recruiter's search.

ATS friendly resume format: the rules

Do and avoid
DoAvoid
Standard headings: Summary, Experience, Education, SkillsCreative headings like “My Journey”
Single-column layoutTwo or three columns, text boxes
Real text in the documentText inside images, icons for contact details
Common fonts (Arial, Calibri, Georgia)Decorative fonts
Dates as “Jan 2024 – Present”Graphic timelines and skill bars
PDF or .docx, as the portal asksScanned images or photos of a printout

PDF or Word: which is safer?

Most modern systems read text-based PDFs well. If a portal specifically asks for .doc or .docx, follow it. Never upload a scanned image as a PDF; it contains no readable text.

Keywords: match, don't stuff

  1. Read the job post and list the skills, tools and qualifications it repeats.
  2. Use the same words where they are true for you (“Selenium WebDriver”, not just “automation”).
  3. Put them where they belong: in bullet points and the skills list, with context.
  4. Spell out abbreviations once: “Search Engine Optimisation (SEO)”.

Pasting the job description in white text, or listing skills you don't have, is easy to spot in an interview and can end an application.

A quick self-check

  • Copy all text from your PDF and paste it into a plain text editor. If it comes out jumbled, the ATS may struggle too.
  • Make sure contact details are in the body, not in the header or footer.
  • Keep one resume per role type rather than one for everything.

Before and after: one section

Before (two-column, icons, skill bars): “Skills ●●●●○ Testing ●●●○○ SQL”. After (ATS-friendly): “Skills: manual testing, regression testing, test case design, JIRA, SQL (joins, aggregates), Postman API testing, Selenium WebDriver (Java)”. The second version is plain text the software can read, and it uses the same terms recruiters type into the search box.

The ATS resume checker compares your resume text with a job description, shows which keywords match and which are missing, and checks basics like headings, length and contact details.

Frequently asked questions

What is an ATS-friendly resume?

A resume with simple, standard formatting and relevant keywords that applicant tracking software can parse correctly.

Do two-column resumes fail ATS?

Many systems misread columns; a single-column layout is safer.

Should I upload a PDF or Word resume?

A text-based PDF usually works; follow the portal's instructions if it asks for Word.

How do I add keywords to my resume?

Use the job post's terms where they are true for you, in bullet points and the skills section.

Can an ATS read images and icons?

Generally not reliably; keep important text as real text.
